How to Address Error Message 'NPI Not on the Crosswalk'

Providers who complete a Change in Ownership (CHOW) request in order to request a new NPI or to combine several NPIs into one may encounter error message 'NPI Not on the Crosswalk'. This message may be received when submitting claims with the old NPI after the new NPI has gone into effect. The following needs to be verified when this error message is received:

  • Are you submitting a claim under the old NPI number(s) 90 days after the new NPI went into effect?
    • If so, you received this error message correctly
    • The old NPI will only stay on the crosswalk for 90 days after the new NPI goes into effect
    • This allows provider to submit, adjust and correct any claims for dates of service when the old NPI was in effect
  • Are you submitting a claim under the NPI number(s) within 90 days of the effective date of the new NPI?
    • If so, you are receiving this error message incorrectly

Steps to Take if You Receive this Error Message Incorrectly:

  • Contact the Provider Contact Center (PCC) to request notification be sent to Provider Enrollment (PE)
    • Jurisdiction 11 (J11) Part A PCC: 866-830-3455
    • J11 Home Health and Hospice (HHH) PCC: 866-830-3925
    • Note: The PCC will verify whether the error message is being received incorrectly before forwarding the request to PE
  • PE will receive the request and verify that the claims being submitted are within the 90 days following the effective date of the new NPI
  • Once this is verified, PE will send a request to the Centers for Medicare & Medicaid Services (CMS) requesting a force match
    • A force match is when the old NPI is cross walked to the provider numbers at the same time the new NPI is cross walked to the provider numbers
  • Once PE receives notification from CMS that a force match has been approved, they will notify the PCC
  • The PCC will contact the provider to notify them that the force match has been approved

Steps to Take Once the Force Match is Approved:

  • It takes a week after the CMS approval has been received for the force match to appear on the cross walk
    • This allows the cross walk to be updated and the cross walk on the front end in Electronic Data Interchange (EDI) to receive the update as well
    • Providers can check to see the cross walk on the Fiscal Intermediary Shared System (FISS) Direct Data Entry (DDE) Screen 4C
    • Providers should file a test claim to assure the crosswalk update is complete
  • The force match will be effective for 90 days from the date of CMS approval
    • Note: After 90 days, the force match will no longer exist and the old NPI will no longer cross walk to the provider numbers
