Common Working File (CWF) Hosts Dark Day for Annual History on August 3, 2019

On Saturday, August 3, 2019, the Common Working File (CWF) Hosts will be conducting a history archive. Due to the anticipated duration of this activity and to ensure the completion of the weekly processing and scheduled data center maintenance, Saturday, August 3, 2019, will be a Dark Day at all CWF Hosts, Great Lakes, Great Western, Keystone, Mid-Atlantic, Northeast, Pacific, South, Southeast and Southwest. This means there will be no access to the Health Insurance Master Record (HIMR) query or BDS, which is usually available until 12 p.m. (ET) each Saturday. The CWF MBI/HIC Crosswalk region will be available for the other shared systems processing needs.

The Dark Days will not affect your ability to access beneficiary eligibility, claim status, or other information through Palmetto GBA’s eServices portal. During the Dark Days, our Interactive Voice Response (IVR) system will not have access to the CWF so users will not be able to check beneficiary eligibility or claim status through our IVR. The IVR will be available for users to check the payment floor or the last three checks paid, and to request a duplicate remittance notice using a check number.

All files received from satellites for Friday’s cycle (August 2, 2019) will be completed prior to bringing CWF production down. If, for any reason, satellite files are received late Saturday morning, they will be processed by CWF after the history archive has been completed.

The following are the planned CWF Host history purge dates, and the purge schedule:

  • The purge will start Saturday, August 3, 2019, after the corresponding weekly cycle has completed. The weekly cycle will start as soon as the Friday ISA and end of day processing completes.
  • The planned Dark Day for the CWF Hosts on Saturday, August 3, 2019, in order to complete the purge process by Monday morning
  • Only Outpatient, Part B and DME claims are to be purged. No other CWF Host claims history will be purged.
